Built for plumbing work, not adapted to it

Most invoice templates are a blank grid with a logo box. This one starts with the job. There is a block for the fixture or system you worked on, where it sits in the building, and the cause of failure — corrosion, freeze, root intrusion, age, or misuse. There are fields for the main shut-off location, water pressure in psi, whether a permit was required, the permit number, and whether inspection is scheduled.

Charges are grouped the way plumbers actually bill:

  • Service call — trip charge, after-hours surcharge, camera inspection
  • Fixtures, parts and materials
  • Labour — journeyman hourly, apprentice hourly, and excavation/restoration hourly, plus spare rows

Below that, the math is done for you: subtotal, discount, tax, total, less deposit and payments, balance due. Enter quantities and rates. Everything else calculates.

The job details block is your paper trail

A few of those fields earn their keep.

Water pressure. Many fixture manufacturers void their warranty above about 80 psi, and high pressure is a common cause of failures the plumber gets blamed for. Write down the reading at the time of service and a callback six months later becomes a short conversation instead of a free repair.

Cause of failure. A pipe that froze, a line with roots in it, and a fitting that corroded out are three different warranty situations. Recording which one it was, on the invoice, at the time, is what settles the argument later.

Main shut-off location. This one is a kindness. The next tech finds it in thirty seconds, and the homeowner can find it at 2 a.m. with water coming through the ceiling.

The template also includes a warranty block: labour warranted for a stated number of days, manufacturer warranty on parts passed through and not extended, with exclusions for freezing, pressure above 80 psi, root intrusion, and later work by others. Adjust the terms to fit how you operate and what your local rules require.

The Invoice Log gets you paid

Sending the invoice is half the job. The second tab tracks the other half. Log each invoice — number, customer, job, date issued, due date, amount invoiced, amount paid — and the sheet calculates the balance, counts days late from today's date, and marks each row PAID, OPEN, or OVERDUE. Because it uses today's date, the picture is current every time you open the file.

A summary at the top shows total outstanding, what is overdue right now, what is more than 30 days late, and your collection rate. Open it Monday morning and you know exactly who to call.

Questions

What should a plumbing invoice include?

The basics: your company details and licence number, the customer, an invoice number, dates, and itemised charges with a clear total and balance due. For plumbing specifically, add the job details — what fixture or system you worked on, the cause of failure, water pressure, and permit information if one was pulled. Stating your labour warranty and its exclusions on the invoice itself avoids arguments later. Requirements for licence numbers and permit references vary by jurisdiction, so check your local rules.

Why record water pressure on the invoice?

Because pressure above about 80 psi voids many fixture manufacturers' warranties and is a common cause of premature failures. If a faucet or valve fails early on a high-pressure system, the reading you recorded at the time of service shows the cause was the house, not your work. It takes ten seconds with a gauge and it is the cheapest liability protection on the sheet.

Does the template work in Google Sheets and LibreOffice?

Yes. The 148 formulas are standard functions that open cleanly in Excel, Google Sheets, and LibreOffice Calc. Upload the .xlsx to Google Drive and open it with Sheets, or open it directly in LibreOffice. The calculations, including the days-late tracking on the Invoice Log, work the same in all three.

Is the warranty block legally binding as written?

It is a starting point, not legal advice. The template states a labour warranty period, passes manufacturer warranties through without extending them, and excludes freezing, pressure over 80 psi, root intrusion, and later work by others — common terms in the trade. Warranty and consumer protection rules differ by state and province, so have your local rules or an advisor confirm the wording fits where you work.
